Overview
ZeroMoblt is a technology-driven student mobility company focused on providing safe, reliable, and compliant transportation solutions for educational institutions and parents. Operating in a rapidly scaling mobility ecosystem, ZeroMoblt manages complex revenue streams involving subscriptions, route-based services, and multi-period billing cycles.
As the business expanded, the finance team required a robust system to automate invoicing, track deferred revenues, and ensure accurate revenue recognition across service periods. To support these requirements, ZeroMoblt adopted Zoho Finance (Zoho Books) as its core financial platform.
The implementation by ZoSuccess/Dhruvsoft enabled structured revenue recognition, real-time financial visibility, and compliance with accounting standards, while significantly reducing manual effort and reconciliation challenges. This transformation provided management with better control over financial operations and scalable processes to support future growth.
Executive Summary
Prior to the implementation, Zero Moblt was managing:
- Student subscription details in Excel
- Vendor payments through manual tracking
- No automated alerts or workflow visibility
- No structured accounting system for deferred revenue
One of the major accounting challenges was revenue recognition. Students paid the full subscription amount upfront, but revenue needed to be recognized monthly based on the subscription duration. For example, if a student paid ₹3,000 for a 3-month course, revenue had to be split as ₹1,000 per month starting from the subscription start date.
Our objective was to implement Zoho Books in a way that:
- Automates student invoicing and payments
- Accurately recognizes revenue on a monthly basis
- Streamlines vendor billing and payments
- Ensures proper accounting impact with minimal manual intervention
Problem Statement & Key Challenges
1. Excel-Based Subscription Management
All student subscriptions were tracked manually in Excel, leading to:
- No centralized data
- High dependency on manual updates
- Increased risk of errors and duplication
2. No Revenue Recognition Mechanism
Although students paid the full amount upfront:
- Revenue was not being split across the subscription period
- Monthly income reports were inaccurate
- Financial statements did not reflect true performance
3. Lack of Alerts and Workflow Automation
There were:
- No payment or subscription alerts
- No automated accounting entries
- No clear audit trail
4. Vendor Payment Tracking Issues
Vendor payments were also maintained in Excel, causing:
- Delays in payments
- No linkage between expenses and accounting records
- Difficulty in reconciliation
Evaluation of the Problem
Our assessment revealed that the core issue was the absence of an accounting system designed for subscription-based revenue. Excel lacked:
- Automated journal entries
- Period-based revenue allocation
- Real-time financial visibility
- Compliance-ready reporting
Organization required a system that could:
- Handle upfront payments with deferred revenue recognition
- Maintain clean accounting records
- Provide transparency and scalability as the business grows
